About the Role
We are seeking a conscientious, solutions-oriented executive assistant to support the CEO and growing executive team. This is a critical role at a pivotal point in our company evolution as we continue our foray into remotely distributed work following the recent close of a round of venture funding. We’re looking for someone with a “team-first” philosophy and who is committed to supporting and developing others around them.
No need for direct experience being an assistant. If you can run a schedule, have excellent common sense, and are a kind and curious person, please apply. Also welcome, talented generalists who desire opportunities and the potential to grow with the company and in the role.
The CEO’s last two assistants have been promoted into other roles at the company. This is a full-time, semi-remote position (based in Portland, OR) reporting to the CEO. You will be trained by the prior assistant.
What You’ll Do
Coordinate complex scheduling and extensive calendar management for the CEO, as well as management of content and flow of information to senior executives.
Serve as a liaison between the CEO and the wider Outlier team, fielding and routing specific asks from across the company
Frequently make judgment calls on conflicting priorities
Support the COO and other department heads on special projects as needed across time zones
Maintain and improve processes that maximize leadership’s capacity and take on special projects.
Maintain internal shared calendars and coordinate company-wide events
Provide research and analysis support as needed
Provide administrative support to People Operations project teams
Oversee Outlier-branded swag and company-wide gift procurement
Personal assistant tasks in the Portland area
Practice empathy for your colleagues with an understanding of the limitations of the CEO’s time will be an important part of your everyday
Who You Are
Experience in an organizing and coordinating role, as a producer, communicator, or logistics professional
Experience supporting a fast-paced environment (experience within a remotely distributed workforce a plus)
Mac OS skills and GSuite fluency in addition to using various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects
Masterful problem-solver with strong communication and interpersonal skills
A highly motivated, curious, and kind individual able to deliver results with minimal supervision
An organizational force with exceptional attention to detail and planning ability
A quick thinker who can manage multiple tasks simultaneously and switch from task to task with little notice
Show an ability to complete complex tasks quickly, reacting with appropriate urgency to situations
Demonstrate an understanding of business priorities and proactively anticipate executive needs
Okay working with an introvert
A creative mind with an ability to suggest and implement process improvements
